Position Overview:


Your role will be to support the wider events team in the administration and maintenance of an online sponsor and delegate registration platform. This includes a registration site and sponsorship portal.

Your role will have a strong focus on the sponsorship component of the event. A typical day will include

-      corresponding with the client and sponsors

-      liaising with the client and internal Project Manager

-      coordinating with a creative agency to create and distribute email campaigns

-      managing lists of event invitees and reviewing registration data

-      updates to the registration website using the Aventri software

-      providing high quality customer service to event delegates and our client, one of Australia’s leading Telecommunication companies.


This role will be well suited for someone with an events management or marketing background. The ideal candidate is flexible, organized, analytical, comfortable with a fast-paced environment and passionate about excellent customer service.






Key Responsibilities:


  • Management of event email inbox and responding to sponsor/delegate queries and actioning requests in the Aventri database
  • Managing the online sponsorship manual process – facilitate updates and changes
  • Database updates/manual admin tasks
  • Assisting the client sponsorship team with management of the sponsor registration process in Aventri – eg. uploading lists, editing existing entries, data management for event sponsors
  • Making amendments to existing sponsor registrations in the Aventri system relating to accommodation, flights and travel, agenda items, etc.
  • Creating and managing sponsor registration reports
  • Cross checking reports and data for quality control
  • General administrative support to the wider events tea
  • Onsite management of sponsor registrations
  • Flexibility of undertaking any other related duties


Experience/Education Requirements (essential):


  • 1 – 2 years’ experience using a content management system, digital marketing platform or event management software
  • The ability to obtain and show excellent knowledge of online registration software and content management systems
  • Advanced Microsoft Excel skills
  • Well-developed written and verbal communication skills
  • Excellent customer service skills and experience working in a customer focused environment
  • Superior attention to detail and pride in accuracy is a must
  • A can-do attitude with a high level of personal motivation
  • Thrive in a fast-paced environment, working within a busy team and effectively multi-task
  • Ability and willingness to take direction and excel in a team


Strong Advantage (desirable):


  • Previous experience managing delegate registrations and data for large events
  • Previous experience using event management software
  • Knowledge of HTML
